BACKGROUND: Xerox Corporation, the $18.2 billion document company, was one of the first to recognize the value of documents in the creation, capture and transfer of knowledge in the workplace and the first to understand that documents comprise the most pervasive vehicle that people use to share knowledge with each other.

PROBLEM SOLVED: Xerox wanted to eliminate paper-based reporting throughout its extended enterprise. There were several paper-based solutions for gathering and reporting on information that were neither time nor cost efficient. In an effort to improve the reporting system, Xerox began evaluating products that could securely search, analyze and distribute all types of corporate data, including structured and unstructured data sources, throughout the company. The only solution able to meet all of Xerox's needs was Viador Inc.
PRODUCT FUNCTIONALITY: With Viador, Xerox enjoys an improved reporting system that can securely search, analyze and distribute all types of corporate data throughout its extended enterprise without paper. Xerox is implementing different channels throughout the enterprise so that all departments (i.e., finance, supplies, sales, etc.) are able to access the specific information they need, all via the Viador portal. For example, the former Xerox human resources and payroll systems were not Y2K compliant. They needed a software solution that was able to accommodate the current business requirements, yet was flexible enough to readily adapt to future business changes. With Viador, the department has reduced system processing and maintenance costs, can accommodate future business requirements and reengineer business processes, and provide more comprehensive access to HR and payroll data. Another example is the Xerox CSS data warehouse project: Xerox's integrated supply chain department needed a solution to give end users access to their own data, supporting ad hoc queries and decision support with a simple browser-based interface as well as the ability for rapid deployment of reports. Viador provides improved functionality, enabling active user query and drill-down capabilities. In addition, Xerox enjoys lower maintenance costs for ongoing software support, report generation and distribution.
STRENGTHS: The Viador E-Portal boasts numerous strengths that led Xerox to select Viador for enterprise-wide, paperless reporting including scalability the ability to grow to infinite numbers of users; ease of use intuitive, browser-based user interface; platform neutrality easily distributed internationally among heterogeneous systems; and cost savings the 100 percent Web-based architecture results in reductions in application installation and maintenance costs since the solution is centrally administered.
WEAKNESSES: Originally, Viador did not provide the ability to search both structured and unstructured data such as HTML documents or Microsoft documents. The recent introduction of Viador E-Portal Suite v.6 remedies this problem.
SELECTION CRITERIA: There are several reasons why Xerox chose to standardize its information access and delivery processes with the Viador E-Portal Suite, the first fully integrated enterprise information portal (EIP).
Open, 100 percent Web architecture Because of the international user base, Xerox required a Web-based solution. Viador's portal fit the bill and only took 112 hours to implement within each division of the company.
Scalability Standardization results in thousands of users. Xerox needed its portal to be able to support up to 6,000 concurrent users and 30,000 users worldwide.
Platform neutrality There are many different platforms in use within Xerox and all users need access to corporate databases. Employee productivity Viador's user interface looks just like a My Yahoo! Web page and is extremely intuitive, thereby giving employees access to dynamic reports without the need for user training. The Web-based Viador portal eliminates the need to re-enter mainframe data into a customized spreadsheet which would be printed and collated by hand. With Viador, Xerox's reports can be immediately created and distributed globally throughout the Xerox enterprise.
DELIVERABLES: Benefits from Viador's solution include paperless reporting, increased data integrity, cost savings and time savings.
VENDOR SUPPORT: Viador's professional services made the installation throughout Xerox a painless process and worked hard to get the project up and running by the target date. Follow-up technical support has also been strong.
DOCUMENTATION: Thorough online documentation is available for all end users. In addition, hard-copy documentation is available for the administrative and designer modules of the product.
