JReport Responds to SOS Reporting Requirements

Storeroom Solutions provides a comprehensive service to large industrial plant customers for the management of all aspects of their in-plant storeroom. Our personnel purchase, receive and issue all maintenance, repair and operating (MRO) supplies directly to plant personnel from the in-plant storeroom. Our goal is to provide clients with high parts availability while optimizing productivity and reducing the costs associated with managing a spare parts storeroom.

To monitor MRO supplies, Storeroom formerly implemented a LAN-based system at each client site. This system was designed to manage not just the supply chain but also plant productivity. However, these disparate systems were run independently at each site, making data sharing and remote data access a challenge. This prevented Storeroom customers from realizing the benefits of ready access to their own business intelligence.

Creating a single, centralized system capable of providing access to critical business data, from any location, was of paramount importance to Storeroom. The obvious path was to harness the flexibility of Java while taking advantage of the Web's broad reach and high availability to deliver information anywhere, anytime. Storeroom began development on the Storeroom On Site (SOS) management system with this goal in mind and with the realization that a robust reporting tool was essential to fulfill customer requirements for on-demand business intelligence.

The development of SOS was seen as a highly strategic investment that would provide greater value to Storeroom clients and improve Storeroom's operations by creating a single management area that could administer materials and processes common to multiple customers. By enabling real-time data processing, data management and information delivery, SOS would provide the information necessary to empower Storeroom personnel to more effectively manage in-plant storerooms.

Given Storeroom's demanding information delivery requirements, JReport, from Jinfonet Software, was the obvious choice. JReport provided a 100-percent J2EE solution that seamlessly integrated with the SOS environment. The functionality and flexibility offered by JReport's reporting engine were able to meet the varying demands of all of Storeroom's clients. In addition, JReport provided flexible report output options including Excel, HTML, PDF and RTF formats while also allowing regularly used reports to be automatically generated and scheduled for delivery via e-mail.

JReport's intuitive design tool allowed Storeroom to quickly create more than 150 report templates to accurately track all components of their clients' storerooms, including inventory lists, work orders, purchase order commitments, back orders and maintenance needs.

At our current peak demand, as many as 400 reports are run during two hours in SOS from different client sites, with each report including as many as 20,000 lines of data. The ability to scale to any workload is a valuable asset to Storeroom's on-site personnel, who need to be able to access business data on demand in order to ensure optimal storeroom performance.

With JReport, SOS generates valuable information regarding overall project status as well as critical information about plant equipment failures. In addition, JReport provides online expediting, management and performance reports that reveal critical operations data on demand, allowing Storeroom to better manage their clients' sites.

Under the premise that "if you can't measure it, you can't manage it," Storeroom site managers have the ability to measure results utilizing several basic reports, with the ability to refine those reports to manage specific problem areas.

Among the measurable reports provided by JReport are material requests, purchase activity, supplier pricing and warranty tracking. Analyzing these reports for up-to-the-minute business intelligence has resulted in significant cost savings achieved by a reduction in unused spare parts inventory as well as high availability and on-time delivery of parts needed for maintenance.

With accurate and available reporting, we at Storeroom have exceeded our goal of achieving a 98 percent or higher service level for our customers (measured in terms of parts availability when requested).

During our research and implementation of JReport, we learned that fine-tuning system settings is not enough to ensure maximum value is obtained from a reporting tool. Making sure system settings are correct is only the first step.
