BACKGROUND: The American Health Network is a health care organization whose mission is to improve the health of patients while providing comfort and comprehensive health care facilities.

PLATFORMS: We run Windows 2003 and Exchange 2003

PROBLEM SOLVED: As an American organization, we needed to comply with recent legislation which requires all organizations and companies to archive their emails for a set amount of time. Through email archiving, we are able to produce the original records of all emails for any legal reasons and/or e-discovery requests without any hassles. The GFI MailArchive software also allows us to restore any emails in a simple and efficient manner, thus eliminating former problems when emails were accidentally deleted. Furthermore, the product makes it easy for us to look into any previous email transactions with clients.

PRODUCT FUNCTIONALITY: The product’s Web interface ensures ease of access, and searching for and recovering emails is a very quick process. It released our IT staff from the long process of restoring each person’s emails or giving permissions to managers and having to explain the process of restoring emails to each one. Restoring emails used to take a lot of time, but now showing people how to use GFI MailArchiver is a simple task, and they can restore their own emails. This has helped save both time and money.

STRENGTHS: The product’s ease of use is definitely one of its strong points. It is also very simple to configure and manage, which is brilliant for out-of-the-box software. The Web display is a top feature of the product because it makes it simple for everyone to use, even if they do not have an IT background. All our emails are automatically archived, and the product does exactly what it is advertised to do.

WEAKNESSES: You need to be willing to spend time going through the documentation to use the product to its full potential, but all the answers are available in the manual. Also, when you go to your archived emails they are not displayed in an Outlook-type format.

SELECTION CRITERIA: GFI MailArchiver was chosen for its competitive pricing structure and its simple installation. Overall, it’s a winning solution. We had tried a sample installation a while back, which was very easy, and the actual installation was just as simple.

DELIVERABLES: We don’t get any reports from the product, but the archived database is our output from the product.

VENDOR SUPPORT: There was only one occurrence where we needed to phone support, and they provided a very quick response and gave us the solution that we required. We were very satisfied by the support that they offer.

DOCUMENTATION: The documentation is very thorough and well written. It provides all the information that is needed for installation and configuration of the product.
