BACKGROUND: Founded in Chicago in 1905, Rotary International is a worldwide organization of business and professional leaders who provide humanitarian service and help to build goodwill and peace in the world. Rotary International’s global membership is approximately 1.2 million men and women who belong to approximately 33,000 Rotary clubs in more than 200 countries and geographical areas.

PROBLEM SOLVED: Prior to implementing the DataFlux technology, the data entry team at Rotary International identified duplicate and inaccurate records through manual, time-consuming processes. With millions of records, this method was tiresome and inefficient and, consequently, was done infrequently. The sheer volume of records historically has been inflated by members leaving clubs in one community and then joining clubs in another, thus causing their individual data to be stored multiple times in a database and, often, in multiple databases. As a nonprofit, one of Rotary International’s key drivers is maintaining the highest data integrity. Eliminating duplicate and inaccurate information directly impacts the mission of the organization. For example, duplicate or undeliverable mail has a direct cost to the organization, and that can now be managed proactively. Rotary International selected DataFlux dfPower Studio to identify duplicate and incomplete records corresponding to Rotary’s more than 1.2 million members worldwide and to help standardize its international membership data.

PRODUCT FUNCTIONALITY: Rotary International’s core membership database has grown organically over the past 10 years, and because the organization receives member data from 33,000 Rotary clubs in more than 200 countries and geographical areas, maintaining quality is a constant challenge. The organization is currently in the process of transferring all of its membership data to a new central membership repository. The process has proven extremely complicated, requiring Rotary International to merge numerous databases and to reconcile multiple records – all with bits of correct data – into one master member record. Using DataFlux dfPower Studio, Rotary International was able to construct simple rules to identify seemingly duplicate information. A major selling point of the tool was its ability to match information for more than 240 countries around the world – a key factor for Rotary International’s business. Reports were generated quickly and were simple and easily digestible. Once complete, we sent them off to the membership department to verify that the items were, in fact, duplicates. Running dfPower Studio for the first time to evaluate 100,000 Canadian membership records in just a single database, Rotary International verified that 2.5 percent of the records were potential duplicates. Once expanded to all membership records in that system, Rotary International compared 3.7 million records and was able to verify that 46,000 were confirmed duplicates – a little more than 1 percent of the membership base. We expect that number to grow as additional databases are compared prior to being merged.

STRENGTHS: DataFlux dfPower Studio is powerful – there’s a lot of configuration that can go into it. Another key selling point for us was the built-in comparisons – ‘James’ matches to ‘Jamie’ matches to ‘Jim.’ The same goes for countries – there’s a lot of pattern matching. And we realize there is much more we can do with it.

WEAKNESSES: The tool’s strength is also its weakness because there’s so much functionality. There is definitely a learning curve, and I would strongly encourage users to go for a training course at the onset. We sent our team to one, and they found it very helpful – if we had gone sooner, it would have reduced the time and effort we spent getting up to speed.

SELECTION CRITERIA: Rotary International evaluated several data quality solutions vendors, ultimately selecting DataFlux for its advanced analytics capabilities, polished and user-friendly product, and superior customer service.

DELIVERABLES: One component of dfPower Studio is the profiling application, which allows users to address data quality problems while viewing data profiling reports - all from the same interface. This is very helpful, and the HTML reports are clear and easy to understand.

VENDOR SUPPORT: While we haven’t needed much support to date, whenever we have reached out to DataFlux they have been responsive and really take the time to understand and work through the issues.

DOCUMENTATION: The documentation is easy to understand, and the product itself is fairly intuitive. Having the hands-on training definitely helped accelerate our learning curve.
